Refunds, cancellation, and work already started
These rules apply to forecast packs, maps, reviews, replenishment briefs, and buyer briefings. We do not sell physical goods by post, so there is no parcel-return process.
Eligibility
Refunds apply to fees paid for work described on a written quote. Informational rates on the website are not themselves a charge.
Timeframe
Ask in writing to hello@controlmatrixhub.digital as soon as you know a season will not go ahead. We confirm receipt within two working days.
Before files are read
If you cancel after accepting a quote but before weekly sales files have been opened, we refund the deposit in full.
After files are read, before the walkthrough
Time already spent drawing draft charts is not refundable. We refund the unused part of the fee, if any, after deducting work done, with a minimum deduction of thirty percent of the quoted fee for a seasonal study and twenty percent for a shorter pack.
After the walkthrough
The pack has been delivered. Fees are not refunded because you later disagree with an order quantity, because leftover units remain, or because the weather differed from the labelled guess.
Buyer briefing
A briefing cancelled more than five working days before the session is refunded in full. Inside five working days we retain fifty percent unless we can fill the morning with another booked session. If you later commission a seasonal study within three months, an unused briefing fee is credited as stated on the rates page.
Non-refundable items
Extra printed copies billed at cost, travel already purchased for a walkthrough outside Tbilisi, and work done to clean a file you sent in an unusable format.
Process and timing
We refund by the same method you paid, within fourteen working days after we agree the amount. Bank charges on a return transfer, if any, are deducted only where the bank imposes them.
Deposits
The forty percent seasonal deposit secures a slot on the calendar. It is refundable only as set out above.
No-show
If nobody from your side attends an agreed walkthrough or briefing without twenty-four hours’ notice, we may treat the session as delivered and keep the fee for that session. We will offer one new date if you write within three working days.
Work already started
Once draft charts exist, that labour has been used. We can stop further pages and bill only what is already drawn, according to the deductions above.
Materials
We do not buy retail stock on your behalf. There is no claim for unused garments, groceries, or beauty kits through this office.
